Terms and Conditions

By registering to use the sensory room, the parent/guardian agrees to adhere to the following terms and conditions.

These rules are in place to ensure the safety and comfort of all users.

Eligibility:

  • The sensory room is open to customers with autism, sensory processing disorders, anxiety, or other needs, who benefit from a controlled sensory environment. Users must be accompanied by a parent/guardian/caregiver and support staff are welcome.
  • The Sensory Room is wheelchair accessible.
  • To maintain a calming atmosphere, one family/group is allowed per session, up to a maximum of 4 people, however please keep numbers to a minimum.
  • To ensure a safe and comfortable experience for all visitors, booking and registration is required before accessing the sensory room.

Please follow these steps to reserve a session:

Online Booking:

Available online at thesquare.ie/sensory-room. Once booking is complete, please bring your confirmation email to our Customer Service Desk on level 2, at least 10 minutes before your designated slot time.

In-Person Booking:

Parents/guardians/caregivers can book a slot at our Customer Service Desk on level 2, subject to availability.

Session Duration:

Each session is limited to 25 minutes from the start of the designated time slot, to allow fair access to all guests and adequate time to prepare room for the next visit. Late arrivals forfeit the time they have missed so please arrive in sufficient time. See below for time requirements, including check-in time.

  • You must check-in at the Customer Service desk with your confirmation email, minimum 10 minutes before your designated time slot.
  • You will be given a pass for the Sensory Room. Please present this to the staff at Cheeky Monkey Play Area Level 3 at your designated time slot.Late arrivals risk having their time slot cancelled.
  • The staff at Cheeky Monkey Play Area Level 3 will provide entry to the Sensory Room.
  • The session time is limited to 25 minutes per visit,  from the start of designated time slot. A 5-minute timer in the Sensory Room will countdown to the end of the time slot.
  • Once the time slot has finished, users must exit promptly. Failure to do so may result in the suspension of access for future sessions.

Responsible Use:

  • The Sensory Room is designed for relaxation and sensory stimulation. Users must engage in appropriate activities and avoid any behaviour that may damage the equipment or cause disturbances.
  • Each parent / guardian / carer is responsible for their use, their child’s use and any other person accompanying them at all times during use of The Sensory Room.
  • The Sensory Room is cleaned regularly. Visitors are encouraged to ensure hands are clean before entering.
  • Please remove footwear before entering Sensory Room. Storage is provided at inner entrance.
  • Users must take care of their personal belongings while using the room. The Square is not responsible for any loss, theft or damage to personal items.
  • Food, drinks, smoking and vaping are not permitted inside the sensory room.
  • Any items that could cause harm to the room’s equipment or other users are strictly prohibited. 
  • Users must report any damage or issues with the room’s equipment immediately to The Square staff member at Cheeky Monkey Play Area Level 3.
  • All children must be accompanied by a parent or guardian at all times. If it is found that a minor has been left on their own in the room this will be deemed inappropriate behaviour and will result in the loss of access.
  • Users must respect the privacy and comfort of others when using the sensory room. Please keep noise to a minimum and limit phone usage to preserve a calming environment.
  • Any disruptive or inappropriate behaviour will result in the loss of access. Staff have discretion to make decisions regarding behaviour, access and usage.
  • For safety and security reasons, CCTV is in operation in the Sensory Room.

Access Terms:

  • Booking slots are non-transferable. Unauthorised use is prohibited and may result in a ban from using the sensory room.
  • The Square reserves the right to cancel bookings in circumstances which are beyond its control or they deem required.

Emergency Protocol:

  • In the event of an emergency, users must exit the room immediately and follow evacuation procedures.
  • Emergency evacuation procedures will be displayed in the room. Please familiarise yourself with them.
  • In case of failure of door to release in an emergency situation please press green break–glass unit to release door.
  • In the event that you require medical assistance please pull emergency cord inside the room.

Amendments:

  • The terms and conditions of sensory room access are subject to change. Use of the facility implies acceptance of the updated terms.

Liability

  • The Square, nor its staff accept any responsibility nor shall not be held liable in the event a user suffers death, injury, damage, or loss suffered of any kind, nor damage to The Sensory Room as a result of a breach by the user, a child, or any other person accompanying you as user of these terms and conditions, as amended.

Data Protection:

We take privacy seriously and are committed to protecting your personal information.

  • Any details provided during booking will be used solely for registration and giving The Square shopping centre the ability to communicate in the future ensuring a smooth experience in the sensory room.
  • Parents/Guardians/Carers are responsible for ensuring that the information provided to The Square shopping centre is accurate and up to date.
  • Personal data will not be shared with third parties and will only be accessed by authorised The Square shopping centre staff for the purposes outlined above and/or where required to comply with a legal obligation.
  • All records will be stored securely and retained only for as long as necessary, in compliance with data protection regulations.
  • If you wish to access, update, or delete your information, please contact the info@thesquare.ie
  • The Square shopping centre shall not be held liable for any material and/or non-material damage or any indirect, consequential, or incidental damages resulting from any unauthorised access to, or breach of, our data security measures, unless such breach is caused by our gross negligence.
